A calendar that reflects your actual week
If your calendar only contains meetings, it says every other hour is free. None of them are.
The Calendar module keeps events, reminders and availability alongside the work they belong to. The mechanics take five minutes to learn; the habits are what make the week survivable.
Put the work on the calendar too
A calendar with only meetings on it is a document claiming that everything between them is available. So people book into it, and by Wednesday the deliverable has no hours left.
Block the work as an event with a real name — "draft the Acme proposal", not "focus time". The specific name does two things: it stops you from moving it casually, and it tells a colleague looking for a slot that this is not a soft block.
A reminder is only useful if it arrives while you can still act
Ten minutes before a meeting is enough to join it and not enough to prepare for it. For anything that needs preparation, set a second reminder the day before — the point is not to be told the meeting exists but to be told while the preparation is still possible.
For deadlines, remind yourself the working day before, not the morning of. A reminder that arrives when there is no longer time to act is just an announcement of a problem.
Time zones: name the city, always
Write the city in the invite title or description, every time an invite crosses a border. "14:00" is a promise that the software resolves correctly and the humans still get wrong, especially in the two weeks around a clock change when half the world has shifted and the other half has not.
When you propose times in a message, give both: "15:00 Istanbul / 13:00 London". It takes four seconds and prevents the meeting everyone attends an hour late.
The recurring meeting that outlived its reason
Every recurring event was a good idea once. Some are still a good idea, and the rest are a habit with a calendar entry.
Twice a year, look at each repeating event and ask what would happen if it stopped. If the honest answer is "nothing much", cancel it rather than shortening it. A calendar full of meetings nobody would miss is why people stop reading their calendar at all.
